A successful community carols event starts with clear decisions long before performers take the stage. This free guide helps Australian councils, schools, churches and community organisations build a realistic Carols by Candlelight plan from the event brief through to post-event review.

1. Write a one-page event brief

Agree on the purpose, date, venue, expected attendance, audience needs, entry or fundraising model, budget ceiling and decision authority. Keep the brief short enough that every committee member and supplier can work from the same event.

2. Plan backwards from opening time

Secure the date, venue and governance first. Book production and essential suppliers before investing heavily in promotion. Complete the site plan, safety controls, volunteer structure, supplier access and wet-weather decision points before the final weeks.

3. Build a budget with scenarios

Track committed and expected costs separately. Include production, power, permits, insurance, security, first aid, traffic, accessibility, toilets, cleaning, marketing, candles or merchandise, freight, volunteer welfare and contingency. Test conservative, working and high attendance cases before relying on fundraising income.

4. Assign owners and deputies

Name leads for event management, production, site, safety, volunteers, finance and fundraising, and communications. Each lead needs a deputy and a clear escalation path.

5. Design the site for people and operations

Map the audience, stage, emergency access, first aid, toilets, food, sponsor areas, candle distribution and pack-down routes. Confirm accessible paths and viewing areas, electrical load, cable protection, backup power and communications.

6. Prepare safety and wet-weather decisions

Maintain a live risk register and define who decides, when they decide and how the audience will be informed. Consider heat, wind, rain, lightning, smoke, ground conditions and power risks. Flameless candlelight can remove exposed flame, hot wax and smoke, but crowd flow, batteries, trip hazards and supervision still require controls.

7. Control sponsor artwork

Confirm benefits, logo format, deadlines, approval rights, on-site placement and post-event evidence. Do not print from a low-resolution web logo without written approval.

8. Estimate candle quantities

Use working attendance multiplied by expected participation, then add operational or sponsor allocations and an appropriate contingency. Consider leftover use and storage before increasing the buffer. Confirm current product minimums, stock, printing, freight and delivery timing for the actual event.

9. Operate from one run sheet

Use one operational timeline covering supplier arrivals, checks, gates, program cues, candle distribution, the candlelight moment, audience exit and pack-down. Log decisions and incidents rather than relying on memory.
