A clear supplier brief reduces assumptions, missed costs and event-day conflict. Every supplier should receive the same core operational information, with technical attachments added for their service.
Describe the event and scope
State the event purpose, date, venue, expected attendance, audience, operating hours and the exact goods or services requested. Separate mandatory requirements from optional ideas so quotations can be compared fairly.
Define access and timing
- delivery and vehicle access route;
- bump-in and bump-out windows;
- parking and accreditation;
- site contact and check-in point;
- noise, curfew and venue restrictions; and
- what equipment the organiser supplies.
Request a complete quotation
Ask suppliers to identify GST, delivery, labour, setup, standby, overtime, travel, consumables, cancellation, weather and damage costs. Record how long the quote remains valid and what deposit or payment terms apply. Commercial terms still require human approval.
Include technical and safety requirements
Request relevant licences, insurance, risk documents, electrical information, equipment specifications and staffing details. Confirm who approves site placement and how hazards or incidents are reported.
Set communication and change control
Name the organiser authorised to approve changes. Suppliers should not accept significant scope changes from volunteers or other contractors without confirmation. Record changes to cost, timing or responsibility in writing.
Cover weather and cancellation
Define the weather decision time, who makes it, what happens if the venue changes and which costs remain payable. Avoid discovering these conditions after cancellation becomes likely.
Confirm close-out requirements
State invoicing details, evidence required for sponsor or grant reporting, site-restoration expectations and the process for reporting damage or incomplete work.
