Carols Sponsorship Plan: Packages, Deadlines and Sponsor Delivery

Good Carols sponsorship is a delivery commitment, not simply a logo package. The organiser must be able to explain the community value, fulfil promised benefits and provide evidence after the event.

Build the offer around the audience

Describe expected attendance, community reach, event purpose, accessibility and how people engage before, during and after the event. Use realistic figures and distinguish confirmed information from forecasts.

Create benefits you can reliably deliver

  • website and social acknowledgements;
  • program, signage and screen placement;
  • stage acknowledgements;
  • community activation or display space;
  • volunteer or candle support;
  • hospitality where appropriate; and
  • post-event photos and impact reporting.

Limit the number of sponsors promised the same premium position. Check venue, broadcast and council restrictions before including a benefit.

Control artwork and deadlines

Specify accepted file formats, minimum resolution, brand guidelines, approval rights and the final production deadline. Do not print a low-resolution logo taken from a website. Record who approved each artwork version.

Separate cash and in-kind support

Record the agreed cash amount, in-kind value, GST treatment, payment date and deliverables. In-kind equipment or services may still create coordination, insurance and recognition obligations.

Assign a benefit owner

Put every promised benefit into a delivery tracker with an owner, due date and evidence field. This prevents sponsor commitments being lost between marketing, production and event teams.

Report after the event

Provide a concise outcome summary with attendance, reach, photographs and delivered benefits. Note any agreed variation honestly. A professional close-out makes next year’s renewal conversation much easier.
