The right candle quantity depends on expected participation, not attendance alone. A practical estimate separates audience demand, operational needs, sponsor allocations and contingency.

Use a simple planning formula

Working attendance × expected participation rate + operational allocations + sponsor/VIP allocations + contingency = planned quantity.

For example, an event expecting 2,000 people where about 60% may participate begins with 1,200 audience candles. The organiser then adds volunteer, performer, sponsor and backup requirements before rounding to the supplier’s order and carton quantities.

Estimate participation realistically
